Virtual Fax

Virtual Fax is an online fax service that combines fax-to-email and email-to-fax capabilities. It lets you send and receive faxes without a physical fax machine or a dedicated fax line, everything happens through your regular email.

There are a number of reasons why email has not fully replaced faxing. Following are some of the main ones:

Regulatory and legal acceptance. Some industries and jurisdictions still treat a fax as a legally recognised method of sending documents, where an email might not carry the same standing. Certain forms, consents, and official submissions are still specified to be sent by fax.

Healthcare and legal sectors. Medical practices, hospitals, pharmacies, and law firms remain heavy fax users. In healthcare especially, faxing has been an entrenched way to share patient records and referrals, partly due to privacy rules and interoperability issues between different systems.

Perceived security and audit trail. A fax transmits point-to-point and produces a confirmation of delivery, which some organisations regard as more secure or more auditable than email i.e. email can sit on multiple servers, be forwarded, or land in the wrong inbox more easily.

Dealing with counterparties who require it. Even a business that would happily drop fax often can't, because a supplier, government department, bank, or overseas partner still insists on it. You keep the capability to work with them.

Signatures and formal documents. A faxed signed document is still accepted as valid in many contexts where a business wants a signature on record without a full digital-signature system.

You're issued a landline fax number or you can bring across your existing one. Faxes sent to that number are converted and delivered straight to your email inbox. To send a fax, you email your document to a fax number, and it's transmitted to the recipient's fax machine or online service as normal. A central server handles the conversion in both directions.

Not at all. Virtual Fax works entirely online, eliminating the need for both a fax machine and a dedicated phone line.

Additional pages are charged at 5c per inbound page and 10c per outbound page.

Faxes to and from Australia, Canada, Germany, Hong Kong, Indonesia, Italy, Japan, South Korea, Malaysia, New Zealand, Singapore, Thailand, the UK and USA are included in your monthly allowance at the listed rates.

Yes. You can port your existing fax number across to the service, or choose a new Australian number from a wide range across all area codes.

Yes. Country-based fax numbers are available for an extra $9 per month, including Canada, New Zealand, the UK and USA. Other countries may be available on request.

Yes. You can link multiple fax numbers to a single account. Useful if your business needs state-based numbers or an international fax number. Additional Australian numbers are $5 per month each. 

You can send Word documents, PDFs, PowerPoint presentations and Excel spreadsheets, as well as images in PNG, JPG, GIF and TIFF formats. All attached directly to your email.
